Guest Tracking Widget

Don't know how many flights you book? Need to give the hotel a room count? Let the Guest Tracking Widget help you see an overview of these stats and more!

The Guest Tracking Widget it designed to give users a snapshot of the travel status of their guests. The widget has 4 tiles:

1. Flight Tracking Tile 

This tile will give you a snapshot of how many flights have been booked and how many you still have left to book. Ribyt calculates the total number of flight byts in a group to determine how many flights there are to book. When a confirmation number is entered in a Guest Profile, that flight is considered "booked."

2. Hotel Tracking Tile

This tile will give you a snapshot of how many hotel rooms have been book and how many you still have left to book. Ribyt calculates the total number of hotel byts in a group to determine how many rooms there are to book. When a confirmation number is entered in a Guest Profile, that hotel room is considered "booked."

3. Ground Transfer Tracking Tile

This tile will give you a snapshot of how many ground transfers have been book and how many you still have left to book. Ribyt calculates the total number of ground byts in a group to determine how many ground transfers there are to book. When a confirmation number is entered in a Guest Profile, that ground transfer is consider "booked." 

4. Itinerary Status Tracking Tile

This tile will give you a snapshot of how many itineraries have been sent. Ribyt calculates the total number of itineraries to be sent based on the number of invited guests. When an Itinerary is sent, the tracker will display the number of "sent" itineraries. 

Your Guests 

The "Your Guest" list will appear at the bottom of the Guest Profiles page. This table will display ALL guests that have RSVP'd yes to your event- you can think of it as a working Guest List!

Guests and Companions are listed out individually in this table. 

The table will display the First and Last name of your guest, as well as their type (guest/ companion) and Group. 

The "Legal," "Air," "Ground," "Hotel," and "Itinerary" columns function similar to the Guest Tracking. If a confirmation number is entered for the byt, the table will display a "booked" status.

Search and Filter the Guest List 

There are two ways to filter the Guest List:

1. Filter by Group

You can filter the table to by Group. By clicking the "Filter by Group" dropdown, you can choose one or more groups. Only guests within these groups will be visible in the table. To reset the filter, click the "x" in front of the Group name. 

 

 

2. Filter by Guest Type

You can filter the table to view Guests only, Companions only or both Guests and Companions. If there is no filter applied, the table will display Guests AND companions. By clicking the "Filter by Group" dropdown, you can choose to view the table with Guests only OR companions only. To reset the filter, click the "x" to the right of the filter display.

 

The search feature is available to search for a certain Guest or Companion. Enter the first name, last name, or email address of the guest you are trying to locate in the search bar. Ribyt will return all results that match your search description in the table. 

 

Check-In Guests as They Arrive at Your Event!

Ribyt has a built in feature to Check-In guests as they arrive to your event. On the "Your Guests" table, locate the last column titled "Checked In." Before you start the check-in process, all guests will have a pink "X"  icon. This icon represents that they have not been checked-in yet. 

To check-in a guest, click on the pink "X" icon. The icon will change to a green "check" icon. When a guest has been successfully checked-in, you will receive an Alter notification confirming the check-in

To reverse a check-in, click on the green "check" icon. The icon will change back to the pink "X" icon. 

 

Bulk Send Itineraries

When you are ready to send Guest Itineraries, you will be able to send them in bulk (instead of one-by-one).

To bulk send itineraries, click the pink "Bulk Itineraries" button in the top right hand corner of the "Guest Profiles" page. 

There are two ways to send itineraries, in bulk:

  1. Send to the entire event (all guests)
  2. Send to guests in selected groups

To send itineraries to all guests in your event, choose "Send to entire Event" in the dropdown. Then, click the green "Send Itineraries" button. 

To send itineraries to a select group/s, choose "Send to select Groups" in the dropdown. You will then be required to select the group you want to send itineraries to. To choose multiple groups, select each group from the dropdown. Once you have selected all the groups, click the green "Send Itineraries" button. 

You will receive an alter notification once your itinerary has been sent successfully. 

 

 
 

Send Text Messages to Your Guests

You can send one-way text messages to your guests through Ribyt. To send a text, click the purple "Send SMS" button below the "Your Guests" table on the "Guest Profile" page. 

Choose who you would like to send the text message to. You can choose to send the text message to all guests, guests in a specific group or guests who have a specific byt. (For example: you can send a text to everyone who has a "concert" byt to let them know the concert has been postponed).

To send a text to a specific guest, click the checkbox next to their name in the "Your Guests" table. Click on the purple "Send SMS" button and choose the "Selected Guests" option. This text will only be send to the guests that have been selected in the table. 

You will be able to create the text message content in the text editor labeled "Edit your SMS below:"

When you are ready to send the text message, click the pink "Send SMS" button. 

PRO TIP: Guests MUST opt in to receive text messages (during the RSVP process) in order to receive the message. The text will be sent to the number provided at the time of RSVP. This is a one-way text messaging feature. You will not be able to receive responses in the Ribyt interface. 

 

Send Email Messages to Your Guests

You can send emails to your guests through Ribyt. To send an email, click the purple "Send Email" button below the "Your Guests" table on the "Guest Profile" page. 

Choose who you would like to send the email to. You can choose to send the email to selected guests, everyone in the event or guests in certain groups. 

In the window, you will be able to custom the email subject and the email body. When you have completed the email, click the pink "Send Email" button. Your email will be sent to all specified guests.
