Invite Tracking Widget 


The Invite Tracking Widget will allow you to keep track of all of your Groups, allocations to those Groups, invites sent and remaining invites. 

GROUPS:

The first column of the tracker displays "Groups." If you are a Client Admin/ Admin of the event you will see all of the Groups within the event. If you are a Host/ Coordinator of the event, you will only see the Groups you have been assigned to. The "Groups" tile will track the total number of groups. 

INVITES ALLOCATED:

Divided by Group, the "Invites Allocated" column will tell you how many invites have been assigned to this Group. If you are a Client Admin/ Admin of the event you will see ALL allocations. If you are a Host/ Coordinator of the event, you will only see the allocations that have been assigned to YOU. The "Invites Allocated" tile will track the total number of invites assigned, across all groups. 

INVITES SENT:

The "Invites Sent" column tracks the number of invites that have been sent to your guests, per Group. This includes invites that have been saved to Ribyt. The "Invites Sent" tile will track the total number of Invites Sent, across all Groups. 

INVITES DRAFTED:

The "Invites Drafted" column tracks the number of invites that you have saves as Drafts, per Group. The "Invites Sent" tile displays the total number of Invites Drafted, across all Groups in the parentheses.

INVITES REMAINING:

The "Invites Remaining" column calculates the number of invites allocations minus the number of invites sent (and drafted) to display the number of invites you have left to send, per Group. The "Invite Remaining" tile tracks the total number of remaining invites, across all Groups.  

PRO TIP: The table is sortable. Click on a column header to sort that column alphabetically or numerically. To search, click the gray arrow (on the top right hand corner of the table). 

 

RSVP Tracking Widget

The RSVP Tracking Widget will give you a snapshot of the RSVP status of all of your guests- including Yes, No, Pending and Forfeit RSVPs. As guests a RSVP, the tracker will update in real time. Hovering over any section of the pie chart will display an amount of RSVPs per categories. This tracker does not display the RSVP status for companions. 

 

The Byt Tracking Widget will give you a snapshot of how many byts you have allocated, how many byts have been accepted, how many byts are pending and how many byts you have remaining to send. 

The Byt Tracker breaks down each byt in the event. The tracking progress bar will display the TOTAL number of byts and will display how many have been allocated. You are able to over allocate byts, however, the progress bar will appear in pink.

Your Invites List

The "Your Invites" list will help you keep track of all of your invites and can be used as a snapshot of the invite process. 

In the table there are two tabs- "Sent" and "Drafts"

SENT TAB:

The table will display the Name, Company, Group and Guest Activity of all of your guests. It will also track companion information- including Companion Activity. 

Below you will find a description of the Guest Activity status:

  • Yes - a guest has RSVP'd yes (with date and timestamp).
  • No - a guest has RSVP'd no (with date and timestamp).
  • Clicked - a guest clicked on the link in the email but did not complete their RSVP.
  • Opened - a guest opened the email invitation, but did not click on the RSVP Link.
  • Forfeit - this Guest status is manually updated within Ribyt. A forfeit RSVP can be used when you do not want to reuse this guest’s invite or when they cancelled their trip after travel was booked.
  • Sent - a guest's email invitation has been sent successfully (with date and timestamp).
  • Saved - a guest has been saved to the Ribyt database and they have not been sent an invite email  (with date and timestamp). 

Searching/ Filtering RSVP's

There are two ways to filter the "Your Invite" table:

1. Filter by Group

You can filter the table by Group. By clicking the "Filter by Group" dropdown, you can choose one or more groups. Only guests within these groups will be visible in the table. To reset the filter, click the "x" in front of the Group name. 

 

2. Filter by Guest Response

You can filter the table by Guest Response. By clicking the "Filter by Guest Response" dropdown, you can choose one or more response types that you would like to view. To reset the filter, click the "x" in front of the Group name. 

 

The search feature is available to search for a certain Guest or Companion. Enter the first name, last name, or email address of the guest you are trying to locate in the search bar. Ribyt will return all results that match your search description in the table. 

 

Manually RSVP a Guest

To manually change the RSVP status of a guest, click on their Guest Activity icon. 

A modal will appear- at the top of the modal, you can choose a RSVP Status. The guest record will now be updated with the new RSVP status and timestamped with the date and time that the status was changed. 

For a guest with a "Yes" RSVP status, you can enter profile information in the modal. This information will be saved to the Guest Profile. 

To update information, click on the Guest Activity icon. The Guest must be RSVP'd "Yes" in order to update profile information.

Delete a Guest or Companion 

To delete a guest, click on the trash can icon at the end of the Guest Information row. 

To delete a companion, click on the trash can icon to the left of the companions name. 

Ribyt will confirm that you want to delete the guest, before proceeding with the action. 

Pro Tip: If you delete a guest with companions, their companions will also be deleted. 

 

Managing Drafts

To manage your drafts, click on the "Drafts" tab of the "Your Invites" table on the Track RSVP page. 

The Drafts tab will display all of the guests that you have queued up as "drafted invites" during the "Send Invite" process. 

To send a drafted email, click on the check box next to the guest name. In the "Choose an action" dropdown, select the "Send Selected" option. You will be prompted to confirm. 

You can also choose to "Save" invites (save guests to Ribyt without sending an invite email). To do this, choose "Save Invites" in the  "Choose an action" dropdown. You will be prompted to confirm. 

To send all drafts at once, click the purple "Send All Drafts" button at the bottom on the table. You will be prompted to confirm. 

You can filter the table by Group. By clicking the "Filter by Group" dropdown, you can choose one or more Groups that you would like to view. To reset the filter, click the "x" in front of the Group name. 

To delete a draft, click the trash can icon on the Guest row. To delete multiple invites, click on the check box next to the invites you wish to delete. Then, choose "Delete Selected" in the actions dropdown.
